Getting Started
Go from downloading the app to importing your first inventory in under 15 minutes. This guide walks you through every step of initial setup.
Download & install
Instica Inventory is available on the App Store for iPhone and iPad running iOS 16.0 or later.
- Open the App Store on your device.
- Search for "Instica Inventory".
- Tap Get to download and install.
Create your account
When you open the app for the first time, you'll be prompted to sign in or create an account.
Option A — Sign In with Apple (recommended)
- Tap Sign In with Apple.
- Authenticate with Face ID, Touch ID, or your Apple ID password.
- Choose to share or hide your email — either works fine.
- You're signed in. The app will start the onboarding wizard.
Option B — Email & password
- Tap Create Account.
- Enter your email address and choose a password.
- Verify your phone number via the SMS code that's sent to you.
- Confirm your account and proceed to onboarding.
Already have an account? If you've previously signed up at app.instica.com, use the same credentials to sign in. Your data syncs automatically between web and mobile.
Onboarding wizard
After signing in for the first time, the app guides you through a setup wizard with these steps:
Step 1 — Organization setup
Enter your business name and basic details. This is the display name shown on your listings and in your Instica dashboard. If you're a solo seller, your personal name works fine.
Step 2 — Connect a marketplace
Connect your first selling platform. The wizard supports eBay and Discogs — you can add more platforms later from Settings. See Marketplace Connections for details.
Step 3 — Import your inventory
If you connected a marketplace, the app will offer to import your existing listings. The import runs in the background — you'll see progress as items are matched and pulled in. You can skip this step and import later.
Step 4 — Shipping address
Add your shipping address. If you connected eBay, you can pull your address directly from your eBay account. A shipping address is required before you can list items.
Step 5 — Done
The wizard is complete. You're now on the main app screen with your Products, Inventory, and Sales tabs ready to use.
Connect a marketplace
If you skipped this during onboarding, you can connect marketplaces any time:
- Go to the More tab.
- Tap Marketplace Connections.
- Tap Connect next to the platform you want to add.
- Sign in to your marketplace account when prompted.
- Authorize Instica to access your marketplace data.
After connecting, your marketplace account will appear in the connections list. You can now import inventory and list items on that platform.
Import existing inventory
To import inventory from a connected marketplace after onboarding:
- Go to More → Marketplace Connections.
- Tap the connected platform.
- Tap Import to start importing your listings.
- The import runs in the background. You'll see a progress indicator showing how many items have been imported.
Note: If some imported items conflict with existing records (e.g., duplicate catalog numbers), you'll be prompted to resolve them. You can merge, skip, or keep both versions.
Set your shipping address
A shipping address is required before you can list inventory on any marketplace. To add or update your address:
- Go to More → Organization Settings.
- Tap Addresses.
- Add a new address or edit an existing one.
- Set one address as your primary shipping address.
Explore the app
With setup complete, here's where to go next:
- Products tab — Browse your product catalog. Each product groups related inventory items together (e.g., all copies of the same album).
- Inventory tab — See every individual item with its status, condition, and pricing. This is your day-to-day workspace.
- Sales tab — Once orders start coming in, you'll see them here with shipment tracking.
