Listing Workflow
Once items are cataloged with photos, conditions, and prices, you can list them for sale on connected marketplaces directly from the app.
Prerequisites
Before you can list an item, three things must be in place:
- Active subscription — Listing requires an active Instica subscription. If your subscription has lapsed, tapping "List" will show a prompt to resubscribe.
- Primary address — You must have a shipping address set in your organization settings. The listing flow will prompt you to add one if missing.
- Connected marketplace — At least one marketplace (eBay, Discogs, Etsy, or Shopify) must be connected. See Marketplace Connections.
Tip: The app checks these prerequisites automatically when you tap "List" and guides you to fix any missing items before proceeding.
Listing a single item
- Open the Inventory tab and find the item you want to list.
- Tap the item to open its detail view.
- Scroll to the Platforms section — you'll see each connected marketplace with its listing status.
- Tap List next to the marketplace you want to list on.
- Review the listing details (title, description, price, photos, condition).
- Confirm to publish the listing.
The listing is sent to the marketplace. Status updates to Listed once the marketplace confirms the listing is live.
Bulk listing
To list multiple items at once:
- Go to the Inventory tab.
- Use the selection mode (long-press an item or tap the select button) to choose multiple items.
- Tap the List action from the bulk action bar.
- Choose the target marketplace.
- Confirm to list all selected items.
Before bulk listing: Make sure all selected items have complete details — condition grades, photos, and prices. Items with missing data may fail to list or produce low-quality listings that get fewer views.
Cross-channel listing
You can list the same item on multiple marketplaces simultaneously. Instica manages the inventory state across channels:
- When an item sells on one platform, it is automatically delisted from other platforms.
- Each marketplace has its own listing with platform-specific data.
- You can list on some platforms and not others — there's no requirement to list everywhere.
Listing on multiple platforms
- Open the inventory item detail.
- In the Platforms section, tap List on each marketplace where you want the item to appear.
- Or use List on all to list on every connected platform at once.
Delisting items
To remove an item from a marketplace:
- Open the inventory item detail.
- In the Platforms section, tap Delist next to the platform.
- The listing is removed from the marketplace and the status updates accordingly.
You can also bulk delist by selecting multiple items and using the bulk delist action.
Listing status tracking
Each item shows its listing status per platform. Common statuses:

| Listing | Listing is being published (in progress) |
| Listed | Active and visible on the marketplace |
| Delisting | Removal is in progress |
| Error | Listing failed — tap for details and retry |
You can also view the full listing history for any item by checking its Audit Log, which records every list, delist, and status change with timestamps.
Pricing tips
- Set an expected price — Use the expected price field to track what you think an item should sell for. This helps with reporting and margin analysis.
- Include shipping in your total — The total price (item + shipping) is what will appear on marketplace listings. Make sure it reflects your full cost to the buyer.
- Review after import — If you imported inventory from a marketplace, check that the imported prices are still competitive.
- Use bulk price update — Need to reprice multiple items? Use the bulk price action to update many items at once.
Common listing issues
Item won't list
- Check that your marketplace connection is still active (go to More → Marketplace Connections).
- Verify you have an active subscription.
- Make sure a primary shipping address is set.
- Check that the item has a valid price (greater than $0).
Listing appears with wrong details
- Update the title, description, or photos in the inventory item detail, then relist.
- Some changes to already-listed items sync automatically; others require delisting and relisting.
Price mismatch between app and marketplace
- The price shown in Instica is the source of truth. If it doesn't match what's on the marketplace, delist and relist to sync.
