Vintage clothing inventory software has one job an ordinary item list does not: hold the measurements and the flaws, because those are what stand between a sale and a return. Every piece is a one-off, so the record has to be complete the first time.
WHAT A GARMENT RECORD CARRIES
Three fields that are not on an ordinary item
Most inventory records describe a product: a thing that exists in quantity, with a manufacturer's specification you can look up. A vintage garment has no specification and no second unit. Everything a buyer needs to know has to be observed and written down by you.
- Measurements Not a size
- A 1970s medium, a 1990s medium and a contemporary medium are three different garments. The label is a historical artefact, not a fit. Pit-to-pit, length, shoulder and sleeve are the fields a buyer can act on, and they are the fields that prevent the return.
- Flaws Disclosed, or returned
- Every vintage garment has a history and most have a mark, a thinning, a repair or a missing button. A flaw recorded on the item — and photographed — is a disclosure. A flaw noticed only by the buyer is a return and a hit to your seller metrics.
- One of one No restock
- There is no second unit and no reorder. Quantity is one, which means every listing is bespoke and nothing is a duplicate of a previous record. The work per item never amortises, so the only leverage is how completely a single item gets captured the first time.

Handle each piece once
The cost of a one-of-one catalogue is per-item labour, so the discipline that matters is not re-handling. Everything below is about capturing a piece completely at the one moment it is already in your hands.
Capture before it goes in the bin
A garment that has been washed, steamed and put on a rail unphotographed is a garment you will re-handle. Photographs and measurements taken once, at the point the piece is prepped, are the whole record.
Storage location is a field
Racks, bins and bags are how vintage inventory actually lives. When a piece sells, the difference between a minute and twenty minutes is whether the record says where it is.
Condition survives the sale
What you assessed, what you disclosed and what the buyer said afterwards stay attached to the sold record. Over a season that is the only reliable read on whether your grading is generous.
WHICH CHANNELS
Three, and they do not behave alike
Instica connects eBay, Shopify and Discogs. Poshmark, Depop, Vinted, Grailed and Etsy — where a lot of vintage clothing trades — are not connected channels. If your selling is concentrated there, a dedicated cross-listing tool will serve you better than this will, and saying so is cheaper for both of us than a cancelled subscription.

Can I record measurements rather than sizes?
Yes, and for vintage it is the more useful record. A labelled size tells a buyer what decade a garment is from; pit-to-pit and length tell them whether it will fit. Both can sit on the same item.
What happens when a garment sells on one channel?
It depends on the channel, and vintage sellers get caught by this. eBay notifies Instica by webhook, so the record is marked sold and your other listings update from it. Discogs comes back on a scheduled sync. Shopify orders are not read back at all, because the app does not request order permissions — a sale on your own storefront is one you mark sold yourself.
Does Instica remove backgrounds or write my listings?
Not today. Background removal and AI pricing insights are on the roadmap and are marked as such on the features page; this page will not sell you a feature that has not shipped. Photographs, measurements, condition notes and the listing itself are yours.
