What actually happens to a parcel
Packing decisions improve immediately once you stop imagining a careful courier and start imagining the real journey. A parcel is sorted mechanically, dropped onto and off conveyors, stacked under heavier parcels, thrown short distances into cages, driven over uneven roads for hours, and possibly left on a doorstep in the rain.
- Drops. Assume a fall of roughly the height of a sorting belt onto a hard floor, on any face, more than once.
- Compression. Assume something heavy sits on top of it for hours. Boxes fail at the corners under sustained load, not on impact.
- Vibration. Hours of low-frequency shaking, which is what abrades surfaces and loosens anything that can move.
- Puncture. Cage corners and other parcels' edges. A thin single-wall box is not a barrier.
- Moisture. Wet floors, rain at the doorstep, and condensation in unheated vehicles.
- Orientation. "This way up" is aspirational. Assume the parcel spends part of the journey upside down.

The principles that generalise
Almost every well-packed parcel, in any category, obeys the same small set of rules. Learn these and category-specific technique becomes a detail rather than a separate skill.
- Immobilise before you cushion The first job is to stop the item moving relative to the box. Cushioning without immobilisation just gives the item a softer runway. Fill every void, including the ones above and behind the item.
- Suspend the item away from every wall Nothing fragile should touch the outer box. A consistent gap of cushioning on all six faces means an impact on any face is absorbed before it reaches the item. Corners and edges take the most force and need the most.
- Wrap the item itself first A surface layer against the item protects against abrasion from the cushioning material itself over hours of vibration. Tissue or foam against a finish, then bubble or paper outside that.
- Protect the most vulnerable feature specifically Handles, spouts, protruding lenses, feet, hinges. These break first because they concentrate force. Give them their own local protection rather than relying on the general fill.
- Use box-in-box for anything genuinely fragile or valuable The item, packed in an inner box, cushioned inside an outer box. This is the single largest step up in protection available and it is what carriers themselves generally require for a successful fragile claim.
- Seal for strength, not just closure Tape along the centre seam and across both edge seams, on both top and bottom. Most box failures are a bottom that opened under load.
- Add a moisture barrier A polythene bag or wrap around the item inside the box costs almost nothing and eliminates an entire failure mode, including doorstep rain after a successful delivery.
A useful discipline: pack a parcel, then ask what would break if you dropped it right now from waist height onto a hard floor. If you can answer that question specifically, that is the thing to fix.

Choosing materials deliberately

The relevant trade-off is that protection adds bulk and bulk costs money through dimensional weight, as covered in postage strategy. The resolution is not thinner packing; it is a smaller box packed properly, which is both cheaper and safer than a large box packed loosely.

Category-specific methods
Each of these has a characteristic failure mode, and knowing it tells you where the effort goes.
- Ceramics and glass. Failure is impact and point load. Wrap individually, protect handles and rims separately, never let two pieces touch, and use box-in-box. Lids and bases travel wrapped separately even when they belong together.
- Electronics. Failure is shock to internal components and screens. Remove batteries where you safely can, immobilise completely, and never let a screen face an outer wall. Anti-static protection for bare components. Check carrier and platform rules on lithium batteries before shipping anything containing one.
- Vinyl records. Failure is seam splits and corner dings, caused by movement inside a mailer and by pressure on the record's edge. Take the record out of the sleeve and place it alongside so it cannot cut through, use stiffeners on both sides, and use a proper record mailer rather than a generic box. Fill the mailer so nothing shifts.
- Books and paper. Failure is bumped corners and moisture. Corner protection and a moisture barrier matter more than cushioning volume. Flat and snug beats padded and loose.
- Artwork and framed items. Failure is glass breaking and puncturing the work. Tape the glass in a grid so it cannot travel if it breaks, or remove it and ship separately. Corner protectors, rigid faces on both sides, box-in-box.
- Clothing and textiles. Failure is moisture and contamination rather than impact. A sealed polythene bag inside a mailer is usually sufficient, and this is the category where over-packing wastes the most money.
- Anything with liquid. Failure is leakage that ruins the item and everything near it. Seal, bag, absorb, and check the carrier prohibits list before shipping at all.
Where a category has an established convention among specialist sellers, follow it. Buyers in those categories know what correct packing looks like and read a deviation as inexperience, which affects feedback even when the item arrives intact.

Documenting so a claim can succeed
Damage claims fail far more often on evidence than on merit. Carriers routinely require proof that the item was adequately packed, and a seller who cannot produce it absorbs the loss regardless of what happened.
- Photograph the item before packing, showing its condition clearly. This also protects you against a return that comes back in worse shape than it left.
- Photograph the packing in progress, particularly the cushioning around the item and the inner box if you are using one. This is the specific evidence carriers ask for.
- Photograph the sealed parcel with the label visible. It ties the packing photographs to the shipment.
- Keep the proof of posting and tracking reference with the order record rather than in an email folder.
- Ask the buyer to photograph the damaged parcel before unpacking further, including the outer box. Damage to the outside is what distinguishes a transit claim from a dispute about the item.
- Tell the buyer to retain all packaging until the claim is settled. Carriers frequently inspect, and disposal ends the claim.
- File within the carrier's time limit, which is often short and starts at the delivery or expected delivery date.

Packing well without over-packing
Over-packing is a real cost: materials, minutes, dimensional weight, and buyers who resent unwrapping a mug from a crate. The objective is proportionate protection, decided per category rather than per parcel.
- Set a standard method per category Decide once what a record, a mug, or a camera gets, and pack every one that way. Deciding at the bench is slow and inconsistent, and inconsistency is what produces the occasional badly packed parcel.
- Let value set the tier A value threshold above which items get box-in-box, double-wall, and full documentation. Below it, a lighter standard method. This concentrates cost where the loss would hurt.
- Track your damage rate by category Without it you cannot tell whether you are under- or over-packing, and both are expensive. A category with zero damage over hundreds of orders may be over-protected; one with recurring damage has a method problem, not a luck problem.
- Fix the method, not the incident When something arrives broken, change the standard method for that category rather than resolving to be more careful. Care does not survive a busy Friday; a standard does.
- Prepare materials in advance Pre-cut inserts, pre-folded boxes, materials within reach of the bench. Most over-packing and under-packing both come from improvising under time pressure.
Packing quality is also one of the few parts of the transaction the buyer experiences directly and physically. An item that arrives properly protected, in a clean box, reads as competence — and it is a meaningful contributor to the repeat purchases discussed in repeat buyers and seller brand.

- Pack one fragile item exactly as you normally would, then open it again.
- Ask two questions: can the contents move, and does anything touch an outer wall?
- Repack with proper suspension, and photograph it sealed.
- That photograph is your evidence if a claim follows. Make taking it a habit.
Check yourself
Is more packing material always safer?
No. Suspension matters more than volume — an item held away from every wall of the box with room to decelerate survives better than one packed rigidly into a large amount of material, because a rigid pack transmits the impact straight through. Over-packing also raises your volumetric weight, so it costs money as well as failing to help.
For a genuinely fragile item, what is the general answer?
Double-boxing: the item suspended inside an inner box, that box suspended inside an outer one. It sounds excessive until you compare its cost with a single claim — which includes the item, postage both ways, the refund, and usually a poor review.

Common questions
Does a "fragile" label actually help?
Treat it as a courtesy rather than protection. Parcels are largely sorted by machine, and a label cannot change how a box behaves when it falls. Some sellers find it makes a modest difference on the final manual leg. Never let it substitute for packing that survives a drop, because the entire premise of a fragile sticker is that someone reads it.
Is it acceptable to reuse boxes and packaging?
Yes, and most buyers view it positively when it is done properly: structurally sound, clean, old labels removed or fully obscured, and re-taped on every seam. A soft, previously crushed box has lost much of its strength, so reuse is a judgement about the box's condition rather than a blanket policy. Avoid it where the item is obviously a gift.
Should I insure every valuable parcel?
Compare the cost of additional cover against the item's value and your realistic loss rate. Below the carrier's default compensation there is nothing to decide; well above it you are self-insuring whether you intended to or not. Note that cover often excludes inadequately packed items, so protection and insurance are not alternatives — a claim can be refused on packing grounds.
What if the buyer says it arrived damaged but the box looks fine?
It happens, and it is genuinely ambiguous: concealed damage from vibration is real, and so is a buyer damaging an item after delivery. Ask for photographs of the item and the packaging, resolve the buyer promptly regardless, and use your own pre-shipment photographs to judge whether this is a transit issue, a packing method issue, or a pattern with one buyer. Arguing over a single incident costs more in standing than the item is worth.
How much does good packing slow me down?
Far less than sellers expect, once the method is standardised and materials are pre-cut and within reach. The time cost of good packing is in deciding, not in doing. A fixed method per category removes the deciding, which is also what makes protection consistent on the days you are rushed.
